From signed agreement to the concierge's first on-site day.

Serving Fort Worth & nearby

Partnering with communities in Fort Worth, Crowley, Benbrook, and surrounding areas.

Straightforward vendor setup

W-9, certificate of insurance, and vendor portal onboarding handled the way your company already does it.

How It Works

Simple to launch. Easy for residents to use.

From first conversation to monthly reporting, the program is designed to be light on your staff and clear for your residents.

Discovery Conversation

A short conversation with community leadership to understand the property, residents, current services, common requests, staff challenges, and the outcomes you're after. By phone, email, or in person — whatever is easiest for your team.

Customized Service Plan

We build a plan around what your community actually needs:

  • Community type & number of units
  • Resident needs & interests
  • Desired on-site schedule
  • Approved services & policies
  • Errand structure
  • Number of properties
  • Reporting expectations

Program Launch

We prepare resident-facing materials, introduce the concierge, explain exactly how residents access the service, and coordinate logistics with your team. Most communities launch within about 30 days of a signed agreement.

Ongoing On-Site Support

The concierge delivers scheduled office hours, appointments, drop-in help, workshops, and approved community services — consistently, on a published calendar.

Reporting & Recommendations

Leadership receives regular reporting on residents served, request types, workshops delivered, common questions, usage trends, and recommendations — always protecting resident privacy.

Resident access

Support that's accessible and structured.

Residents get a simple, clear way to ask for help — without turning it into an overwhelming, on-demand service.

Ways residents reach the concierge

  • Scheduled on-site office hours
  • Short booked appointments
  • Drop-in support during set times
  • A simple digital request form or QR code
  • A paper form for those who prefer it
  • Community-approved phone or email
  • Workshop registration

How requests are handled

  • Reviewed during designated service hours
  • Prioritized by urgency, scope & plan
  • Weekly deadline for eligible errands
  • Out-of-scope requests are gently redirected
  • Fair-access limits keep it available to all

What it's not for

The request system isn't for emergencies, urgent medical needs, maintenance emergencies, lease disputes, or immediate on-demand requests. Residents keep using the property's normal procedures for maintenance, lease matters, and anything urgent.

Reporting & community insights

More than on-site help.

Being a resident experience partner means giving leadership a clearer understanding of how residents use the service and what they're asking for.

What monthly reporting covers

Trends & program performance
Program participation — residents served and total interactions
Request categories — the most common types of help
Workshop participation — attendance and interest
Emerging needs — recommendations for future programming
Reporting focuses on general trends and program activity — not sensitive resident information. We only collect what's needed to provide the requested service.
About

Practical help. Stronger communities.

Close By Concierge exists because so many everyday resident needs fall in the gap between existing community roles — and someone should own that gap.

Where this came from

Built from the resident services desk.

Close By Concierge grew out of years working directly with residents — including as a Resident Services Coordinator at an affordable housing community. The pattern was impossible to miss: residents constantly needed help with technology, forms, resources, appointments, and everyday logistics, and those needs rarely fit neatly under leasing, maintenance, or activities.

Property teams are already responsible for leasing, operations, compliance, maintenance, programming, and resident communication. The everyday practical stuff is real and it matters to residents — but it lands on whoever happens to be at the desk.

Close By Concierge turns that scattered, in-between work into a structured, reliable, on-site resource. The goal is simple: residents feel supported and informed, and community teams get more time for their primary responsibilities.

How we work

Personalized support, run on organized systems.

Clear boundaries

Non-medical, non-legal, non-financial — with a defined scope everyone understands.

Consistent presence

The same trusted concierge on a published schedule, backed by reliable coverage.

Resident privacy

We collect only what's needed and report on trends, not personal details.

Property partnership

Reporting and recommendations that help you strengthen the resident experience.

Trust & safeguards

Every Close By Concierge partnership includes concierges who are background-checked and trained on service scope, resident privacy, professional boundaries, and how to route requests that belong to another department. General liability coverage is in place before anyone sets foot on your property.

We handle standard vendor onboarding the way your organization already does it — W-9, certificate of insurance naming the property as required, and vendor portal registration. Continuity is built in through a lead-concierge structure, so coverage stays consistent even when schedules change.

Let's talk about your community.

Tell us what you're seeing on your property, and we'll help you picture what a partnership could look like.

FAQs

Questions from community leaders.

The things property managers, executive directors, and ownership groups ask before bringing Close By Concierge on-site.

The residential community or property operator contracts and pays for Close By Concierge. The community decides how the service is offered to residents — most often as an included amenity.

It depends on the partnership. Core services are typically offered as a resident amenity. Purchases, transportation costs, third-party provider fees, or services outside the community agreement may remain the resident's responsibility.

Yes. Every partnership includes background-checked concierges and general liability coverage, put in place before any concierge begins on-site work. Clear service boundaries and resident privacy practices are part of the agreement from day one.

No. Close By Concierge is a non-medical resident support and concierge service. We don't provide medical care, personal care, medication support, health monitoring, or activities of daily living.

No. We complement your team by handling approved practical requests that fall outside their primary roles — so leasing, management, and maintenance stay focused on what they do best.

No. We may offer educational workshops, but the focus is practical resident assistance — not entertainment or recreational programming.

Basic technology, online forms, paperwork organization, local resources, appointment coordination, everyday logistics, and other approved concierge requests. If something's out of scope, the concierge explains the limit and helps them find the right department, professional, or agency.

Depending on the community: booking an appointment, visiting during office hours, submitting a digital or paper request, scanning a QR code, or registering for a workshop. Non-urgent requests submitted between visits are reviewed during service hours.

Communities may include a structured, shared errand service. Eligible errands, deadlines, limits, service areas, and resident costs are set in the service plan. Errands are limited and structured — never an on-demand personal delivery service — so the service stays fair and available to the whole community.

Residents submit non-urgent requests through the approved system, and they're addressed during designated concierge hours. For emergencies, maintenance issues, or lease questions, residents continue using the property's normal procedures.

The baseline program is approximately 30 on-site hours per month, delivered on a published monthly calendar, plus about 10 hours of off-site support for coordination, resource research, follow-up, and reporting. Hours and visit frequency are adjusted to your property, and lighter footprints — even around four hours — can be worked out.

A defined three-month program at introductory pilot pricing, which runs below the ongoing monthly rate. You get the full baseline service and real monthly reporting, so you can see how residents actually use it before committing longer term. After the pilot, communities typically continue on an ongoing annual partnership.

Ongoing partnerships run on a twelve-month agreement that renews automatically, which keeps the program a predictable annual line item for your budget. But you're not locked in: either party may end the agreement at any point with 60 days' written notice. The annual term sets the default; the notice period keeps it flexible for both of us.

A space for the concierge to meet with residents — a clubhouse table, community room, or small office all work — plus Wi-Fi access, help announcing the program to residents, and a staff point of contact for coordination. No new hires and no new systems on your end.

Most communities launch within about 30 days of a signed agreement. That covers the service plan, resident-facing materials, staff coordination, and the program introduction.

We partner with communities in Fort Worth, Crowley, Benbrook, and surrounding areas. If your property is outside that footprint, reach out anyway — we'd like to know where the need is.

The standard way. We provide a W-9 and a certificate of insurance naming the property as required, and we'll register in your vendor portal or complete whatever compliance process your management company uses.

Yes. The plan is built around your community's size, resident population, goals, staff structure, and operational needs. Weekend or evening availability can be discussed, and lighter schedules — even around four hours — can be worked out.

Yes. Multi-property pilots and portfolio partnerships are available, including standardized services, shared reporting, and phased launches.

We collect only the information necessary to provide the requested service. Reports to leadership focus on general trends and program activity rather than sensitive personal details.

Pricing is customized to the community's size, service hours, location, included services, and number of participating properties. It's structured as a single monthly amenity cost. Most communities start with a three-month pilot at introductory pricing before moving to an ongoing annual rate — contact us for a customized proposal.
